Salary Range: $53,000-$60,000

Scope of the Position: 

The Data Administrator is responsible for providing essential administrative and data management support to the team, ensuring efficient organization and accurate record-keeping. This role involves managing communications, assisting with business application reviews, maintaining data on active projects, organizing documentation, and conducting market research as needed. The Data Administrator will contribute to the smooth operation of the Nch’ú7mut Endorsed Business Registry and other business development initiatives.

Duties, Responsibilities, Authority and Accountabilities 

 

Communication and Inquiry Management

  • Answer incoming phone calls professionally and respond to email inquiries in a timely manner.
  • Forward inquiries to the appropriate staff members when necessary.
  • Manage and organize the Applications email inbox, ensuring all requests and questions are tracked and the team is informed.

 

Business Application Support:

  • Assist with the initial review of business applications submitted to the Nch’ú7mut Endorsed Business Registry, as directed.

 

Meeting Support

  • Attend and accurately record meeting minutes for the weekly Business Development Meeting.
  • Attend and accurately record meeting minutes for Nch’u7mut partnership meetings.

 

Data Management and Entry

  • Perform accurate and timely data entry for active projects, including self-development projects like Senakw, within the Monday.com platform.
  • Conduct data and file reconciliation for both active and past projects to ensure accuracy and completeness.

 

Document Organization and Filing

  • Maintain organized filing systems for all projects, applying businesses, and endorsed businesses within SharePoint and Monday.com.
  • Ensure documents are easily accessible and accurately labeled.

 

Market Research

  • Conduct market research as required to support the performance and development of the Nch’ú7mut Endorsed Business Registry and other active or future projects.

 

Other:

  • Perform other duties as required.

Knowledge, Skills, and Experience 

 

Knowledge: 

  • Basic office procedures and customer service.
  • Data entry and file management best practices.
  • Familiarity with Microsoft Office Suite, SharePoint, and Monday.com (or similar platforms).
  • Understanding of meeting procedures and minute-taking.

 

Skills: 

  • Ability to work independently with little supervision.
  • Resourceful and organized with excellent time management abilities. 
  • Maintain a positive and friendly mental attitude and team player.
  • Proficiency in Microsoft Office 365 (Teams, Outlook, PowerPoint, Excel, Word).
  • Excellent written and verbal communication skills, with the ability to present effectively in person or virtually.
  • Previous experience with Monday.com or similar software is an asset but not required.

 

Experience

  • Proven experience in an administrative role, preferably involving data entry and management.
  • Experience managing phone calls and email inquiries in a professional setting.
  • Experience taking and accurately transcribing meeting minutes.
  • Demonstrated experience with electronic document management systems, such as SharePoint.
  • Experience using project management software, such as Monday.com, for data entry and organization (or a strong aptitude to learn).
  • Experience working with First Nations is an asset.
