HR & Corporate Services Senior Administrator 

Nch’kaỷ Development Corporation (NDC) was established in 2018 as the economic development arm of the Squamish Nation – Skwxwú7mesh Úxwumixw. Nch’kaỷ’s mandate is to develop, manage and own the active businesses of the Nation and was created to allow for the separation of business and politics within the Squamish Nation. Our mission is to generate wealth and create prosperity from economic opportunities for current and future generations of the Squamish Nation. This role is offered to members first and the broader community if an appropriate application is unavailable. This position will mainly work out of Nch’kaỷ’s Head Office.

 

Position Status

This is a Permanent Full-time position.

 

Scope of the Position

HR & CS Senior Administrator is often the first-person internal employees and visitors meet. The day-to-day job typically revolves around various clerical tasks, including managing HR documents, organizing files, and maintaining mobile-plan allowance. In addition to answering the phone and coordinating calendars, to be successful in this role, the ideal candidate should have solid organizational skills and be familiar with HR functions.

 

Duties, Responsibilities, Authority and Accountabilities

Administrator Responsibilities:

  • Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands.
  • Carrying out clerical duties such as answering phone calls, responding to emails, and preparing memos, and presentations.
  • Responsible for managing corporate services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and clerical functions are properly assigned and monitored.
  • Oversee and coordinate corporate services administration procedures and review, evaluate, and implement new procedures to improve operational efficiency.
  • Establish work priorities, delegate work to office support staff, and ensure deadlines are met and procedures are followed.
  • Manage relationships with vendors and service providers ensuring that all items are invoiced and paid on time
  • Purchasing office supplies, equipment, and furniture.
  • Performing bookkeeping tasks such as budget tracking and processing invoices, and managing office budgets
  • Identify opportunities for increased efficiency, enter data for corporate service budget and expenses for reporting to Sr. Manager HR and Corporate Services
  • Prepare weekly financial report
  • Overseeing the maintenance of office facilities, and equipment
  • Coordinate with IT Associate on all office equipment
  • Perform review and analysis of special projects and keep the management properly informed
  • Responsible for developing standards and promoting activities that enhance operational procedures
  • Develop and maintain efficient filing systems including personnel records, both paper and electronic
  • Maintain Mobile-Plan Allowance
  • Maintain a safe, secure, and pleasant work environment

  • Perform other duties as required.

 

Reporting Responsibilities and Authorities from Supervisor

  • Reports to Sr. Manager HR and Corporate Services

 

Position Requirements

  • 5 to 7 years of HR and office administration experience.
  • Bachelor’s degree in HR, administration, or a related field.
  • Excellent telephone, verbal, and written communication skills.
  • Personable disposition with a natural ability to be flexible and handle anything that might come your way.
  • Sound knowledge of labor laws and practices.
  • Must be approachable and helpful.
  • Strong organization, time-management, multi-tasking, and interpersonal skills
  • Experience developing internal processes and filing systems
  • Experience preparing budgets, AP, and contract management.
  • High levels of integrity and ability to handle confidential information.
  • Ability to work independently within established guidelines and procedures and as a member of a team.
  • Willingness to be flexible and adaptable to changing priorities.
  • Ability to set and manage priorities to meet deadlines.
  • Proven track record of responsiveness, resourcefulness, prioritization, and meeting deadlines.
  • Strong people skills and the ability to interact with colleagues and senior management to maintain quality.
  • Highly competent in MS Office software especially Excel
  • Experience working with First Nations is an asset.

 

Special Requirements

  • Willing to work additional hours as required.
  • Able to travel to meet the demands of Nch’kaý.
