Salary Range: $65,000 – $75,000

The Project Coordinator plays a crucial role in supporting the successful planning, execution, and closure of projects within PMO (Project Management Office) and IT projects. Under the guidance of a Project Manager, the Project Coordinator will be responsible for assisting in various aspects of the project lifecycle, ensuring projects are delivered on time, within scope, and to the required quality standards. This role provides an opportunity to develop project management skills and contribute to meaningful organizational initiatives. The Project Coordinator will work collaboratively with cross-functional teams and stakeholders to achieve project objectives. 

 

Duties, Responsibilities, Authority, and Accountabilities

Project Initiation and Planning Support

  • Assist in defining project scope, objectives, and deliverables under the direction of the Project Manager.
  • Contribute to the development of project plans, schedules, and budgets.
  • Help identify project stakeholders and assist with stakeholder analysis.
  • Support the creation of project documentation, including project charters, communication plans, and risk management plans.

 

Project Execution and Coordination

  • Assist in the coordination of project activities and tasks.
  • Track project progress and identify potential roadblocks or deviations from the plan.
  • Facilitate project team meetings, prepare agendas, and document meeting minutes and action items.
  • Assist in the management of project resources and ensure team members have the necessary information and tools.
  • Support the implementation of project management methodologies and best practices.

 

Project Monitoring and Controlling

  • Assist in monitoring project performance against key metrics (e.g., schedule, budget, scope).
  • Help identify, track, and escalate project issues and risks to the Project Manager.
  • Support the development and implementation of mitigation plans for identified risks.
  • Assist in managing project changes and ensuring proper documentation and approval processes are followed.
  • Contribute to the preparation of project status reports for stakeholders.

 

Communication and Stakeholder Management

  • Support the Project Manager in maintaining effective communication with project teams and stakeholders.
  • Assist in the dissemination of project information and updates.
  • Help manage stakeholder expectations and address concerns under guidance.

 

Project Closure

  • Assist in the finalization of project deliverables and documentation.
  • Support the process of obtaining stakeholder sign-off and formal project closure.
  • Contribute to the collection of lessons learned and the identification of areas for improvement.

 

Administrative and Reporting Tasks

  • Maintain organized project files and documentation.
  • Assist with data collection and analysis for project reporting.
  • Support the Project Manager with general administrative tasks as needed.

 

Professional Development

  • Actively seek opportunities to learn and develop project management skills and knowledge.
  • Participate in relevant training and development programs.

 

Other

  • Perform other duties as required.

Knowledge, Skills, and Experience

  • Bachelor’s degree in Business Administration or a related field
  • Project Management Professional (PMP) certification is preferred, or active participation in a program with the intention to pursue PMP certification.
  • Entry-level to 3- 5 years of experience in a related field (e.g., project coordination, administrative support in a project environment, internships).
  • Basic understanding of Project Management principles and methodologies (e.g., project lifecycle, scope, schedule, risk).
  • Understanding and knowledge of UKG and NetSuite systems a plus
  • Awareness of business operations and the relevant industry.
  • Familiarity with standard office software (Microsoft Office Suite, Google Workspace).
  • Basic understanding of stakeholder management.
  • Knowledge of documentation and record-keeping practices.
  • (Preferred) Familiarity with project management software (e.g., Asana, Trello, Jira, Microsoft Project).
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Effective interpersonal and collaboration skills.

  • Previous experience working with First Nations is an asset; a strong desire to learn about and uphold Sḵwx̱wú7mesh values and teachings in a respectful manner is essential for this role.

 

Special Requirements

  • Occasional requirement to work in the evenings and on weekends. 
  • Occasional travel may be required.

 

Expected Salary Range

$60,000 – $75,000

Our typical hiring range will be +/- 5% of the midpoint shown above.
